Accommodation and Food Policies:
Room Allotment and Amenities:
1. The hostel room accommodates three inmates, who share the space together.
2. Each room is equipped with an attached washroom, complete with a bucket and mug.
3. Every room features both AC and Wi-Fi facilities for the comfort and convenience of the students.
4. Each student is provided with a bed, including a mattress and pillow, along with a bed sheet and pillow cover.
5. Additionally, a wardrobe, study table with a bookshelf, and chair are provided to each resident.
6. Room allotment and roommate allocation are determined by the management.
7. Parents/Guardians/Students are encouraged to inspect room amenities upon allocation to ensure satisfaction.
Meal Package:
1. Academia Abode offers a comprehensive package inclusive of shared accommodation and meals.
2. The meal plan comprises buffet breakfast, lunch, evening tea bites, dinner, and a post-dinner cup of milk.
3. Vegetarian and non-vegetarian food options are available.
Meal Service:
1. Meals are served exclusively in the designated dining area during scheduled times.
2. Parents/Guardians can join for meals in the dining area during scheduled hours for a nominal
additional fee per person.
Food Regulations
1. Ordering food and beverages online is strictly prohibited.
2. Bringing outside food, beverages, or snacks onto the premises is not allowed.
3. Parents/Guardians may bring homemade vegetarian food for their children to be consumed in the designated dining area, provided they are present.
4. Food court, as well as general item and stationery shops, will be conveniently located within the hostel premises.
Room Maintenance:
1. Students are expected to keep their belongings organized and neatly stored in the wardrobe.
2. Used clothes may be hung on hooks behind the main doors/ on the walls.
3. Students are expected to maintain room decorum, including bed sheets and pillow covers, according to management standards.
4. Students must keep their rooms neat and tidy. Books on the table, shoes on the rack and cupboard to be arranged neatly. There will be surprise checking.
5. It is responsibility of the student who comes out last to switch off the lights & fans.
6. Maintaining room layout is the responsibility of every member in the room. Proper use of the dustbin is required. Waste papers and wrappers must be thrown in the dustbins and not out of the windows. Housekeeping staff will stop to clean the rooms of those who fail to maintain room layout.
Security Measures:
1. Valuable ornaments are discouraged from being brought onto the premises; however, if necessary, it is at the student's own risk.
2. Students are responsible for securing their personal belongings by locking them in the wardrobe. The management will not be held liable for any losses.
Visiting and Communication Policies:
1. Visiting Hours:
Parents/Guardians, relatives, and friends are permitted to meet students only in designated areas assigned by the management between 9 AM to 7 PM. Access to student floors and rooms is prohibited
2. Advance Notice for Visits:
In cases where parents/guardians cannot adhere to designated visiting hours due to distance, they must notify the management 24 hours in advance to seek approval for alternate arrangement
Phone Usage:
Phone conversations should be brief, and usage is restricted in certain areas to maintain a conducive environment.
Feedback Facility:
• A dedicated "Feedback Facility" is available for students to submit suggestions or complaints for prompt resolution.
Office Hours:
•Management office hours are from 10 AM to 4 PM
Medical Expenses:
• Parents/Guardians are responsible for directly settling medical expenses for students with hospitals, doctors, or pharmacies.
Other Facilities and Services:
Laundry Service:
• The management provides laundry services for one set of uniforms and one set of daily-wear clothes. Students are responsible for washing their inner garments. Laundry charges will be levied for extra pairs of washing clothes
In-house Store:
• A departmental store cum stationery shop is available on-site where students can purchase their regular necessities at market prices. Fruits are also available on prior orders, and photocopy, printout, and courier facilities are provided.
Recreational Facilities:
• Indoor Games and the Reading Room are accessible according to scheduled times.
Additional Amenities:
• Café, Departmental Store, and Salon operate during designated hours and are available on a payment basis.
Discipline and Behavior:
Behavioral Guidelines:
• Chewing gum is strictly prohibited.
• Intoxication within or around the premises is strictly forbidden, and violators will be immediately expelled without refund. Alcohol testing can be conducted using a breathalyzer machine.
• Any displays of anger posing a physical danger or disturbance to others will result in immediate expulsion without refund.
• Grouping, parties, pranks, and ragging are strictly prohibited.
• Students are not permitted to enter each other's rooms, disturb others, or utilize their belongings.
•Unnecessary strolling/ moving in the corridors and gathering in peer’s room is strictly prohibited.
• Playing any outdoor games in the hostel is not allowed.
• "Students are not allowed to cut their hair in the room. If caught, strict disciplinary action will be taken."
• Students must adhere to proper dress code even within the hostel premises. Wearing only undergarments or inappropriate clothing and roaming around are strictly prohibited.
• Students must sleep only in their allotted beds; sharing the same bed or joining beds will not be permitted.
• Bulling is banned. No one is permitted to subject any other student to any kind of ill treatment either physical or mental. Serious disciplinary action will be taken for any kind of anti–social act.
•Calling of juniors and making them work for personal gain will invite dire consequences.
• Students are to maintain proper conduct and behavior by respecting elders and being affectionate to juniors.
• Students are not allowed to bring food and cutlery from the dining hall to their rooms.
• Wishing or celebrating birthdays at midnight (after 12am) and making noises etc. is strictly prohibited. Necessary action will be taken as per the hostel norms against the room members of the birthday girl/ boy along with those involved.
• Stealing is crime, no student will steal others uniforms, eatables, toiletries etc.
• Any kind of protest against the authorities will by no means be entertained
Warning System:
• Violations of discipline will result in a warning system. After the 2nd warning, a 3rd warning will lead to immediate termination without refund.
• Any serious acts of indiscipline may result in immediate rustication or suspension without warnings or refunds.
Responsibility for Damages:
• Damages caused by students during their tenure will be the responsibility of the student's parent or guardian, including repair costs and an additional penalty of ₹1000.
• Inventories allotted to the students will be in his/ her responsibility. Any damage of hostel property will be recovered from the students impressed account.
Key Replacement:
• Lost, damaged, or missing keys will require replacement. Replacement costs, such as ₹2500 for the room main door key and ₹600 each for the wardrobe and drawer keys, are the responsibility of the student and their parent or guardian.
Damage Penalties:
• Any marking, spotting, or damage to walls or furniture will incur penalties starting from ₹5000, determined by the extent of damage.
Restrictions:
Admission Deadline:
• Admission for stay at the management ends on March 31st every year.
Internet Access:
• Students may possess basic keypads without internet capability, and Laptops, but no other internet devices are permitted.
Electrical Equipment and Flammable Items:
• Electrical equipment such as room heaters, iron presses, induction cooktops, and electric kettles are prohibited due to safety concerns. Additionally, flammable items or products are not allowed on the premises.
Outside Access:
• Students are not permitted to leave the management building for any reason without prior permission. In case of emergency or urgent situations, parents must request permission from the management by sending a message from their registered mobile number, specifying the reason. The management will not be held responsible if a student fails to return on schedule.
Day Outing:
•Students are permitted day outings only on Sundays and holidays, and they must return by 6:30 PM without exception. If accompanied by parents or an authorized local guardian, they can report back by 9 PM after obtaining prior permission.
Gate Pass:
• Gate passes must be collected between 10 AM to 2 PM only.
Financial Transactions:
• Parents/Guardians are advised to open a minor account for their children at the bank and provide them with an ATM card for cashless transactions. Monetary transactions with management employees or co-workers are strictly prohibited. A penalty of ₹500 will be imposed for any bounced cheques.
Continuation and Extensions:
Confirmation and Extensions:
• Confirmation for continuation stays for the next year after March 31st must be made by December 15th of the present year. Room/bed allocation will be based on availability and decided by the management. Extension stays after March 31st for Medical or Engineering Entrance examinations are subject to availability and require mandatory relocation as per management instructions. Additional package charges will apply.
Payments and Deposits:
Security Deposit:
• In addition to the package amount, a caution money/security deposit of ₹15,000 must be deposited during admission. This deposit will be refunded after the student leaves, minus deductions for damages
Cancellation and Refund:
Refund Policy:
• The caution money/security deposit is non-refundable if the student leaves before March 31st of every year. Refunds for cancellations will take 30-45 days from the cancellation date.
• A non-refundable amount of ₹25,000 from the package fee applies if cancellation occurs within thirty (30) days from the date of occupancy. Cancellations made after thirty (30) days are non-refundable.
Students pickup & drop Policy:
•For any holidays, such as summer break, management will notify parents 2/3 days in advance to pick up the student. Parents and authorized local guardians can then pick up the student as per the scheduled date and time.
•The student also has to return as per the scheduled date and time.
•Additionally, if anyone other than the parents or authorized local guardians will come to pick up the student(s), parents must send an authorization letter through their registered email ID to the concerned authority.
N.B: - All the students are requested to co–operate and obey the rules and regulations for the smooth functioning of the boarding. Strict disciplinary action will be taken to those who to fail to follow the same.
